Why quotes go cold
You do the site visit, measure up, write the quote and send it. Then nothing. The customer isn't saying no. They're busy, they got a few quotes, or they meant to reply and forgot.
Chasing quotes is the job everyone puts off. It feels pushy, and at the end of a long day it's the last thing you want to do. The customer who would have said yes ends up booking whoever got back to them last.
How quote follow-up works
- New enquiries get an instant reply. When someone gets in touch, they hear back from your business straight away, so they know you've got their message.
- After you send a quote, one or two polite follow-ups go out. We set the timing with you, and the wording is friendly, not pushy.
- Saying yes is easy. Each follow-up includes your booking link. The customer can pick a free time for the job from your calendar, inside your working hours. Or they can reply with questions, and you call them.
- They get a confirmation text. The job shows in your calendar, and it can sync with Google Calendar if you like. Every follow-up includes an easy way to opt out.
What it could look like
Customer: Hi, after a quote to replace a hot water system
Your business: Thanks for getting in touch with [Your business]! We're on a job right now but we'll get back to you today about your quote.
Quote sent Monday
Your business: Hi Tom, [Your business] here. Following up on the hot water quote. Ready to go ahead? Pick an install time here: [booking link] Or reply with any questions and we'll call you. Reply STOP to opt out.
Tom picks next Wednesday
Your business: Thanks Tom, your install is booked for Wednesday morning. See you then.
Examples only. Names are made up, and we write your real messages with you before anything goes out.
What Rebookly sets up for you
- The instant enquiry reply and your quote follow-ups, written with you. You approve them before they go live.
- Your booking calendar with your working hours, plus optional Google Calendar sync.
- Rebooking reminders, missed-call text back and review requests, all included.
- A plain monthly report: messages sent, replies and bookings.
Practical tips for following up quotes
- Send the quote quickly. The follow-up works best when the quote itself wasn't slow.
- Give it a couple of days. Following up the next morning can feel rushed. Leaving it a fortnight is too long.
- Offer help, not pressure. "Any questions?" lands better than "Just checking if you've decided".
- Stop at one or two. If they haven't replied after that, leave it. You don't want to annoy anyone.
- Make the next step obvious. A booking link means they can say yes in one tap, even at 10pm.
